Leaving Poland: Exit Checklist for Foreigners

Leaving Poland can trigger different administrative steps depending on how long you are leaving for, your residence status, employment, tax position, address registration and whether you operate a business in Poland.

There is no single universal “exit procedure” for every foreigner. Use this checklist to identify which actions apply to you, then verify time-sensitive residence, tax and business obligations with the responsible authority.

  • Lawful stay: Check the last day of your legal stay and whether another legal basis applies.
  • Departure registration: Report a move abroad for more than 6 months or a permanent move when the Gov.pl rule applies.
  • Tax details: Check your PIT obligations and update address / bank details where needed.
  • Residence card: Return it only when one of the statutory return events occurs.
⚡ The “Don’t Forget” List

1. Check whether your residence decision creates a duty to notify the voivode when work or another purpose of stay ends.
2. If leaving for more than 6 months or permanently, report the departure under the Gov.pl rules.
3. Leave before your lawful stay expires unless you have another legal basis to remain; any return decision or re-entry ban is a separate legal determination.

Who this applies to

This checklist is for foreigners who are moving out of Poland temporarily or permanently and need to identify which residence, address-registration, tax, business or document-return steps apply. Not every step applies to every person.

1. Check Whether You Must Notify the Voivode

Leaving Poland does not create one universal notification duty for every residence permit. The obligation depends on the type of permit and the event that ended the basis on which it was granted.

Temporary residence and work permit

If an employer is named in your temporary residence and work permit, MOS states that you must notify the competent voivode in writing within the statutory 15-day period after losing that job. Other residence permits can have different notification rules, so check the decision and the current MOS guidance for your route.

2. Report a Long or Permanent Departure

Gov.pl says you should report a departure abroad if you are leaving Poland for more than 6 months or moving abroad permanently. Report it no later than the day you leave.

  • Permanent move abroad: the report automatically deregisters your permanent and temporary residence registrations.
  • Departure for more than 6 months with an intention to return: a temporary residence registration is automatically deregistered; a permanent registration remains.
  • The departure can be reported through the current Gov.pl service or at a municipality office.

3. Update Tax Details and Check Your PIT Position

Moving abroad does not automatically end every Polish tax obligation. Your final filing position depends on tax residence, Polish-source income, the tax year and any applicable tax treaty.

ZAP-3 is an update form — not the only way to receive a refund.

A person who does not run a business can use ZAP-3 to update address or bank-account details. Podatki.gov.pl also states that a bank account for a tax refund can be supplied in the tax return itself. Use the route that fits your filing situation.

4. Return a Residence Card When the Legal Return Duty Is Triggered

You do not return a residence card merely because you take a trip abroad. MOS lists specific events that trigger the return duty, including acquisition of Polish citizenship, invalidation of the document, or a final revocation / statutory expiry of the residence status covered by the card.

Deadline

Where the statutory return duty applies, the residence card must be returned immediately and no later than 14 days from the relevant event described by MOS. Return it to the authority that issued the document.

5. Overstay and Re-entry Bans Are Not the Same Thing

An overstay can lead to return proceedings, but a one-day overstay does not automatically create a fixed 6-month or 3-year Schengen ban. A re-entry ban is imposed in the relevant return / departure decision, and its length depends on the legal basis and circumstances of that decision.

MOS explains that a return decision may include a re-entry ban and that, where no voluntary-departure period is set, a ban is imposed. Current rules provide different possible periods depending on the circumstances. If your lawful stay is close to expiring, check your current legal basis before travelling or remaining in Poland.

6. FAQ: Leaving Poland

Can I close my Polish bank account from abroad?

Account-closing methods vary by bank: some support app/online closure, while others require a branch visit or written instruction. Check your bank’s current procedure before departure. If the account is still needed for a Polish tax refund or pending payments, do not close it until those transactions are settled.

Do I need to inform ZUS?

If your employment in Poland ends, the employer normally handles the relevant ZUS deregistration as contribution payer. If you run a JDG, leaving Poland does not by itself close the business: update, suspend or close the CEIDG entry according to what actually happens to the activity and check the resulting Polish/EU social-security position.
